Key Responsibilities
- Manage executive calendars, including scheduling with internal and external parties and prioritizing time
- Maintain inbox organization for executives: triage, respond to routine items, extract to-dos, summarize important emails, and escalate urgent messages
- Attend weekly leadership and departmental meetings, take notes, manage Fathom summaries, and ensure To-Dos are entered into systems (Ninety, Bigin, Contractor Foreman)
- Coordinate travel arrangements, events, meals, and logistics for meetings and company gatherings
- Process and track travel and entertainment receipts, credit card reconciliation, and timecard submissions
- Post job openings and manage applicant flow for non-contracted recruiting
- Support recruitment processes by scheduling interviews and organizing candidate communications
- Maintain trackers for NDAs, grant reporting deadlines, and other compliance documentation
- Draft templates, organize boilerplate content, and compile summaries for grant and industry reports
- Enter purchase orders, invoices, and provide general administrative support across departments
- Compile industry news and event information into weekly digests and calendars
Qualifications
Required:
- Associate's or Bachelor's degree in Business Administration or related field, or equivalent experience
- 5+ years of administrative support or operations experience, ideally in a dynamic, fast-paced environment
- Demonstrated ability to manage schedules, emails, and multiple concurrent tasks with discretion
- Strong communication skills and attention to detail
Preferred:
- Experience supporting senior leadership
- Familiarity with productivity tools like SharePoint, Microsoft Office, QuickBooks Online, and project management software
- Comfort with learning and managing administrative responsibilities across multiple platforms
Working Conditions

Job Overview
Darcy Solutions is seeking an experienced and skilled Construction Project Manager to join our team. The ideal candidate will be responsible for overseeing and managing construction projects from inception to completion, ensuring they are completed on time, within budget, and to our required quality standards. The Construction Project Manager will collaborate with various stakeholders, including general contractors, sales channel partners, owners, architects, engineers, subcontractors, and other trades, to ensure successful project delivery.
Darcy geothermal projects involve the installation of integrated water well-HVAC mechanical systems, including the siting and construction of water wells, lateral piping and conduit excavation and installation, aquifer heat exchanger and accessories installation, and system controls installation. Close coordination with third-party mechanical, electrical and controls contractors is critical to project success.
Responsibilities
- Project Success Ownership: Serve as the primary leader for a Darcy project in the field. Take ownership of project outcomes relating to budget, schedule, quality, and customer satisfaction.
- Project Planning: Support Darcy’s preconstruction team in developing comprehensive project plans, outlining timelines, budgets, and resource requirements.
- Project Team Management: Lead and motivate project teams, including subcontractors, ensuring effective communication and collaboration throughout the project lifecycle.
- Budget and Cost Control: Review and finalize project budgets with Darcy operations leadership. Track expenses and implement cost-saving measures to ensure financial targets are met.
- Quality Assurance: Maintain specified quality construction standards, conduct regular inspections, and address deviations. Ensure on-site quality assurance for the company.
- Safety and Risk Management: Oversee on-site safety plans. Identify potential project risks and proactively communicate with internal and external stakeholders. Develop mitigation strategies.
- Client Communication: Act as the primary contact for the project team. Provide regular updates, address concerns, and ensure client satisfaction.
- Regulatory Compliance: Ensure compliance with building and drilling codes, safety regulations, stormwater plans, and other legal requirements.
- Timeline Management: Manage project milestones and adjust schedules to meet deadlines.
- Problem Solving: Proactively resolve issues during construction to keep the project on track.
Qualifications
- Bachelor's degree in Construction Management, Civil Engineering, or a related field. PMP or relevant certifications are a plus.
- 5–7 years of proven experience as a Construction Project Manager with successful project delivery.
- Project supervisory experience with a General Contractor.
- Strong knowledge of construction processes, building codes, and safety regulations.
- Knowledge of HVAC systems or well construction practices preferred.

Responsibilities
- Oversee well drilling, excavation, and underground piping installation per project specs.
- Enforce subcontractor compliance with technical and safety standards; perform audits.
- Coordinate externally with project stakeholders and internally with cross-functional teams.
- Lead quality assurance, equipment calibration, and system installation oversight.
- Manage inventory, ordering, and field readiness for system installation.
- Sample groundwater and system water per plan requirements.

Responsibilities
- Construction Oversight: Oversee project-specific requirements for well construction, excavation, and underground piping installation. Ensure and document subcontractor compliance with project requirements and specifications for system construction and installation. Ensure subcontractor compliance with project safety requirements, including subcontractor safety audits.
- External Coordination: Coordinate with external project team members regarding schedules and project-specific requirements/specifications.
- Internal Coordination: Coordinate with internal project team members (i.e., geology, sales, and engineering team members) regarding schedules and project-specific requirements/specifications.
- Lead Equipment Management and Installations: Assist with equipment procurement, quality control testing, system installation/preparation, and inventory management to ensure success.
- Permit Compliance: Perform quarterly groundwater sampling and other system testing to remain in compliance with project-specific permit requirements.
- Technical Documentation: Documenting field service protocols and training manuals for the end user and for other Darcy Solutions staff.
- Team Collaboration: Provides consultation and advice to others, decision making and problem solving on matters of engineering operations, project coordination, subcontractor scheduling, needs and outcomes in a professional, clear and collaborative manner.
- Internal and External Meetings: Attend meetings as required to engage in education and participate in communicating challenges and solutions implemented in the field as well as coordination challenges for projects to be installed.
